Alignment and Coordination Plan

Objective:

Maintain seamless communication, transparent reporting, and collaborative alignment between the City of Duncanville and Armstrong Park Cultural District Foundation to effectively pursue Cultural District designation and implementation.

Alignment Activities & Responsibilities:

1. Regular Coordination Meetings

  • Frequency:

    Monthly meetings between Foundation leadership (Executive Director, Board Chair) and designated City staff (e.g., Arts Commission liaison, Parks & Recreation representative, Economic Development Corporation representative).
  • Agenda Items:

    • Progress updates on Cultural District designation milestones.
    • Coordination on shared programming and activities.
    • Joint planning for upcoming events, community engagement, or funding opportunities.
    • Discussion and resolution of potential barriers or challenges.

2. Quarterly Reporting & Updates

  • Content:

    • Comprehensive summary of Foundation activities, achievements, challenges, and financial status.
    • Updates on community feedback, participation, and emerging opportunities.
  • Distribution:

    • Formal reports shared with City Council, relevant city departments, and stakeholders.
    • Public summaries available via the Foundation’s website for community transparency.

3. Joint Strategic Planning Sessions

  • Frequency:

    Semi-annually or as needed, based on key project milestones.
  • Objectives:

    • Review and recalibrate strategies to maintain alignment with community needs and City development goals.
    • Jointly identify emerging opportunities for economic and cultural growth.
    • Ensure that Foundation programming complements existing city efforts.

4. Dedicated Communication Channels

  • Establish designated points of contact between the City and Foundation leadership for ongoing communication outside regular meetings.
  • Create a shared digital workspace for document sharing, project timelines, and event planning for efficient collaboration and transparency.

5. Annual Alignment Review

  • Conduct a comprehensive annual review involving key City and Foundation leaders to evaluate:
    • Successes and areas of improvement in partnership coordination.
    • Effectiveness of communication processes.
    • Updates to strategic goals based on evolving priorities and achievements.
